1. Our Commitment to Privacy
As a “Health Information Custodian” under Ontario’s PHIPA, Naomi Barnes, MACP, RP is responsible for ensuring that your personal health information (PHI) is treated with the highest level of security and professional ethics.

We collect information necessary to provide clinical care and manage our practice:
- Clinical Records: Health history, treatment plans, and session notes.
- Contact Information: Name, address, phone, and email.
- Payment Data: Billing history and insurance details (processed securely via our third-party provider).
- Digital Data: IP addresses and browsing behavior (collected via cookies and Google Analytics).
3. Use of the “Jane App”
Ontario Therapy uses Jane App as our primary Clinic Management and Virtual Care platform.
- EHR & Booking: All client records and scheduling are managed through Jane.
- Virtual Sessions: Virtual therapy is conducted via Jane’s encrypted, PHIPA/PIPEDA-compliant video platform.
- Data Residency: All health data is stored on secure, encrypted servers located within Canada.
- Security: Jane utilizes 256-bit encryption (bank-grade security) to protect your data at rest and in transit.
4. Website Analytics and Cookies
Our website uses Google Analytics to understand how visitors interact with our content.
- What is tracked: Anonymized data such as pages visited, time spent on site, and general geographic location.
- Your Choice: You can opt out of tracking by adjusting your browser settings or using the Google Analytics Opt-out Browser Add-on.
- Marketing: While we post updates to our blog and Google Business Profile, we do not share your clinical data for marketing purposes.
5. Disclosure and Confidentiality
Your information is strictly confidential. It will not be shared without your express written consent, except in the following legal “Limits of Confidentiality”:
- Risk of Harm: If there is a clear risk of serious bodily harm to yourself or others.
- Child Protection: If a child under 18 is suspected of being at risk of abuse or neglect.
- Regulatory Requirements: If records are subpoenaed by a court or requested for an audit by the College of Registered Psychotherapists of Ontario (CRPO).
6. Retention and Security
- Retention: We retain clinical records for a minimum of 10 years following the last clinical contact (or 10 years after a minor turns 18), as required by the CRPO.
- Digital Safety: We utilize two-factor authentication (2FA) and unique user identifiers to prevent unauthorized access to the Jane platform.
